Fauntleroy Church Office Assistant
Job Summary
The Fauntleroy Church Office Assistant supports church operations by engaging general office assistance in the front office of the church. Responsibilities include assisting and supporting Fauntleroy Church members, volunteers, and building users; offering preparatory support for worship services; maintaining a well-run office and usable workroom; and interfacing with people as they come and go. When present, the person in this role will be the first voice and face encountered by those who contact the church on weekdays and play a key role in connecting others to information and people needed.
This is a 22-hour/week position paying $28/hour. Employer/Employee shared health plan available if combined with the Worship Technician position.
Reports To
The Office Assistant reports to and is supervised by the Senior Minister. Another person may be assigned to help guide the role at the discretion of the Senior Minister.
Works Closely With
The Office Assistant works closest in their job with the Volunteer and Engagement Coordinator, Building Coordinator, Financial Assistant #2, Caretaker and Ministers.
Areas of Responsibility:
Hospitality and Communication
Operate as the church’s first, timely and main point of contact with the public and members of the congregation, in person and via phone, mail and email
Set-up and send the weekly MailChimp emails containing links to the livestream and a pdf of the bulletin
Working with others, take the lead on keeping the website up-to-date
Manage member directories and assist in member information input
Keep an eye on printed information that is displayed, and change out as needed
Maintain an orderly and welcoming work environment for office volunteers
Help prepare occasional large mailings and a small, weekly mailing to homebound members
Engage in internal and external communication (including all-church emails and social media posts) as needed, in cooperation with others
Maintain good relationships with our long-term and short-term building partners, observing boundaries between this position and the Building Coordinator’s role
Provide initial caring support to grieving individuals and families who inquire about memorial or funeral services.
Operational Support
Set-up, format and print the weekly bulletin after contributions are complete
Engage preproduction setup of livestreamed worship service on Thursdays, testing video, creating slides of hymn lyrics and liturgy as requested by pastors in the worship leader bulletin/script, creating A/V projection notes, and configuring sources, scenes, and scene collections in OBS Studio software.
Using weekly worship citation lists, check and complete reporting for song usage to Christian Copyright Solutions and OneLicense.net
Maintain organized and appropriately accessible electronic file storage of church documents that you create or are given by volunteers
Set up SharePoint groups as needed and orient, reorient and train volunteers on how to use their various groups’ Sharepoint files
Help volunteers and members access leadership library resources and Breeze database
Search meeting minutes and archives as needed
Maintain office supplies, office equipment and office storage areas and manage budgets related to work duties
Contact and follow up with office machinery companies as needed and assist staff with making contacts when computer assistance/support is needed (though each staff member is responsible for assessing and maintaining their own computers)
Train and support office volunteers, utilizing them as possible to assist supportive tasks (entering member data and printing bulletins are two possibilities)
Print projects as requested
Provide assistance to the Volunteer and Engagement Coordinator as needed, acting as a back-up for some of their communication and volunteer-seeking duties
Perform other administrative duties as necessary or requested in keeping the work and resources of Fauntleroy Church in good working order
Take and pass along messages, check mail, and pass along dropped-off items (for all staff and, as needed, building partners
Return phone calls and pass along information as requested by ministers
Address emergency issues in compliance with emergency action plans and Senior Minister’s guidance
Other occasional duties as requested by the Senior Minister
Desired Attributes, Skills, and Experience:
Very strong background with Microsoft Office Suite, databases, mail client software, and website maintenance
Good written and oral communication skills with high attention to detail
Well-organized with ability to take initiative, set priorities, multitask and conduct one’s work in a manner that does not increase the workload of others
Flexible and adaptable with a friendly and positive attitude
Willing to independently research and figure out processes, procedures and technology that may be new to you
Ability to assess what information should be kept confidential
Willingness to drive one’s own vehicle for work-related errands (mileage reimbursed) and receive CPR and First Aid training/certification (can be provided)
Does not need to be a UCC member, but must strongly align with our values and beliefs as a progressive and open and affirming church
Able to keep your office computer and the computer used by office volunteers in good, updated, working order
Ability to and comfort in safely engaging people who come to the church office looking for help while keeping the overarching needs of the church and our building partners in focus
Willingness to work with other church, Y and preschool staff in confronting individuals who are overstepping boundaries we need to maintain for public safety (when boundaries crossed are egregious or consistent, police are contacted)
MUST be willing to work in an open-door, busy, sometimes noisy environment where your office can sometimes feel like Grand Central station (a preschool occupies the floor above our office suite, and the Office Assistant’s office is just off of the shared lobby of the church and Fauntleroy Y.
Additional Information:
Expected hours for this position will be Monday through Wednesday, from 8:00-1:00 PM and Thursday, from 8:00-3:00PM (22 hours). Ten days of vacation are provided after three months of service. 12 paid holidays are given in addition to these vacation days.
For occasional projects requiring focus, the Office Assistant can arrange to occasionally use quieter spaces in the church, in coordination with volunteers and the Senior Minister as head of staff.
